5 Ways to Make Fresh Summit Planning Easier Right Now

easier_post.pngProduce, floral, talent and tech ALL in one place at the same time. It’s that time of year again! Fresh Summit is right around the corner, and everyone is starting to feel the pressure. With over 1,000 exhibitors this year, things are sure to get a little hectic as the show draws closer. Thankfully we have learned a great deal through our many years of attending and assisting exhibitors during this show, so we’d like to share 5 ways to make Fresh Summit planning easier right now!

How to Make Fresh Summit Planning Easier

Create a Fresh Summit binder

Go crazy with tabs labeled for all aspects of the show that require your attention.  As you submit paperwork for various things, file them in the binder so that all your show information is in one handy place. This also helps you to easily look things up once you are onsite and need to keep booth setup moving smoothly. Some recommended tabs are Deadlines, Show Schedule, GES Orders, Catering, Booth Details, Budget, Hotel Confirmations, and Shipment Tracking Details.

Create a master show schedule

This will be a perfect place to reference where your entire team is at any moment during Fresh Summit. Make sure to store it in one place for easy access during the show. Wondering when and where that meeting is with a potential new client? Did you forget what time the Opening Reception is at? This schedule holds all the answers for every member of your team.

Keep shared information updated and in one place for easy team access

The larger the team, the more people to keep informed. Train your team to always reference one shared location or master document to stay in-the-loop on details about the show and business development that pertain to them.  A cloud-based site such as Google Docs is easy to access from everyone’s mobile devices while they are on the move and at the show.

Divide and conquer!

Yes, the bulk of Fresh Summit planning may fall squarely on your shoulders, but that does not mean you cannot lighten your load by delegating small, manageable tasks to other team members. This allows you to focus on some of the big things at hand. Plus, a little tradeshow cross-training is never a bad thing!

Hire an intern!

Yes, we said it.  What a great opportunity for both event management and marketing project management skills training. You also will benefit from some much needed assistance. If you’ve never been able to imagine how an intern would fit into your world, this provides a safe trial run to show you the mutual benefits an outstanding intern can bring to the table. We bet you won’t want to let them go!

We all want things to play out perfectly at a trade show, but if we are honest with ourselves, there is almost always some sort of roadblock. However, using these 5 ways to make your planning easier might help you avoid unneeded stress and panic, so you can enjoy all Fresh Summit has to offer!
